Last updated: 3 November 2026
This Privacy Policy explains how Aroma Queen Ltd collects and uses personal data when you visit aromaqueen.nu, contact us or place an order. We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and, where applicable, the EU GDPR.

2. What data we collect
Contact form and email. When you contact us, we process the information you provide: your name, company name, business email address, website (optional), the service you are interested in and your message.
Orders. When you place an order, we process your name, email address, company name, billing address, VAT number (if provided) and the products you ordered, so that we can deliver the products and issue invoices.
Payment details. Card payments are handled by a dedicated payment provider. Aroma Queen does not store your full card details on our servers.
Technical data. When you visit the website, our hosting provider automatically processes technical information such as your IP address, browser type, the pages requested and the time of the request (server logs). This is necessary to deliver the website securely.
3. Why we process your data and on what legal basis
- To respond to your inquiry and to process and deliver orders — performance of a contract or steps taken at your request prior to entering into a contract (Art. 6(1)(b)).
- To operate, secure and improve the website — our legitimate interests (Art. 6(1)(f)).
- To comply with legal obligations such as accounting and tax requirements (Art. 6(1)(c)).
4. Recipients and processors
We do not sell your personal data. We use trusted service providers that process data on our behalf, such as our hosting, email and payment providers. These providers act as data processors under data processing agreements.
The website loads fonts from Google Fonts (Google Ireland Ltd.). When a page loads, your browser connects to Google's servers, which means your IP address is transmitted to Google.
If data is transferred outside the UK or EEA, we ensure an appropriate safeguard is in place, such as the International Data Transfer Agreement, Standard Contractual Clauses or an adequacy decision.
5. How long we keep your data
We keep inquiries for as long as needed to handle your request, and generally no longer than 12 months after our last contact. Order and invoice records are kept for six years to meet UK accounting requirements. Server logs are kept for a short period for security purposes.
6. Your rights
You have the right to request access to, rectification or erasure of your personal data, to restrict or object to processing, and to data portability. To exercise your rights, contact us at info@aromaqueen.nu.
You also have the right to lodge a complaint with the Information Commissioner's Office (ico.org.uk).
7. Cookies and local storage
See our Cookie Policy.
8. Changes
We may update this policy when our services or legal requirements change. The latest version is always available on this page.
